Reports and Analytics

Understand your business performance with comprehensive reports and insights.

This tutorial covers using CleanDayCRM's reporting features to track business performance, revenue, and team productivity.


Dashboard Overview

Your main dashboard provides at-a-glance metrics:

  • Jobs Today -- number of scheduled jobs for today
  • Revenue This Month -- total revenue for the current month
  • Outstanding Payments -- total unpaid amounts across all jobs
  • Upcoming Jobs -- quick list of the next scheduled jobs

Reports Page

Navigate to Reports in the sidebar for detailed analytics.

Filtering by Period

Select the time range for your reports:

  • This Week
  • This Month
  • This Quarter
  • This Year
  • Custom Range

Revenue Reports

Total Revenue

See your total revenue broken down by period. Includes:

  • Revenue from completed, paid jobs
  • Revenue by service type (Standard, Deep Clean, Move-Out)
  • Revenue from recurring vs. one-time bookings
  • Revenue from new vs. returning customers

Payment Method Breakdown

See how your customers pay:

  • Credit card (Stripe)
  • Zelle
  • Venmo
  • CashApp
  • Cash
  • Check

This helps you understand payment preferences and plan accordingly.

Outstanding Payments

Track unpaid amounts:

  • Total outstanding across all clients
  • Breakdown by client
  • Age of outstanding invoices (current, 30 days, 60 days, 90+ days)

Job Reports

Completed Jobs

  • Total jobs completed in the selected period
  • Jobs by service type
  • Jobs by day of week (see which days are busiest)
  • Average job duration
  • Cancellation rate

Job Status Breakdown

See how many jobs are in each status:

  • Scheduled (upcoming)
  • Cleaner Completed (pending review)
  • Completed (approved)
  • Cancelled
  • No Show

Financial Dashboard (Owner Only)

The financial dashboard provides advanced analytics for business owners.

Revenue Trends

  • Monthly revenue chart showing trends over time
  • Comparison with previous periods

Track profitability by service type:

  • Revenue per service type
  • Cost per service type (based on cleaner pay rates)

Team Performance

Cleaner Metrics

For each cleaner on your team, track:

  • Jobs Completed -- total and for the selected period
  • Hours Worked -- from clock-in to clock-out
  • Average Duration -- how long their jobs take
  • Customer Rating -- average rating from customer feedback
  • On-Time Rate -- percentage of jobs started on time
  • Earnings -- pay based on hours x hourly rate

Comparing Cleaners

Use team metrics to:

  • Identify top performers
  • Spot underperforming staff who may need training
  • Balance workloads across the team
  • Make data-driven assignment decisions

Customer Metrics

Customer Acquisition

  • New clients added in the selected period
  • Source of new clients (referral, online booking, manual entry)

Customer Retention

  • Clients who rebooked in the period
  • Clients who have not booked in 30/60/90 days (churn risk)
  • Win-back campaign conversion rates

Referral Program Stats

  • Active referral codes
  • Referrals made
  • Referrals converted (new bookings)
  • Credits earned and redeemed
  • Referral-driven revenue

Using Reports Effectively

Weekly Review

Run a quick weekly report every Monday:

  1. Go to Reports, select Last Week.
  2. Check: revenue, jobs completed, outstanding payments.
  3. Look for cancellations or no-shows to follow up on.
  4. Review any negative customer feedback.

Monthly Review

At the start of each month:

  1. Review last month's revenue vs. previous month.
  2. Check customer retention -- how many clients rebooked?
  3. Review cleaner performance -- anyone falling behind?
  4. Check outstanding invoices and follow up.
  5. Review campaign results -- did marketing drive new bookings?

Quarterly Review

Every quarter:

  1. Analyze revenue trends -- growing, flat, or declining?
  2. Review profit margins by service type -- which services are most profitable?
  3. Assess team capacity -- do you need more cleaners?
  4. Evaluate operational expenses -- any areas to cut costs?
  5. Review referral program performance -- is it worth the investment?

Exporting Data

For external analysis or tax preparation:

  • Use the Backup feature in Settings to export all company data.
  • Backups include: clients, bookings, invoices, team members, and transaction history.
  • Data is exported in a structured format that can be processed further.

Tips

  1. Check reports regularly -- weekly reviews catch problems early.
  2. Track revenue by service type -- you may find deep cleans are more profitable and worth promoting.
  3. Monitor cancellation rates -- high cancellations may signal pricing or scheduling issues.
  4. Use customer ratings -- consistently low ratings for a cleaner indicate training needs.
  5. Compare periods -- always compare month-over-month or year-over-year to spot trends.
